Title: Accommodation & Ground Transport Co-ordinator

Contract Type: Permanent, Full Time (37½ hours per week)

Department: Accommodation & Ground Transport Team, Operations Department

Responsible to: Senior Travel Procurement Manager (Accommodation & Ground Transport)

Salary: £20,000 – £24,000 per annum (subject to experience)

Location: UK Head Office (Gloucester)

Job Description

The successful candidate will co-ordinate accommodation, meeting and events (M&E) products and ground transport services for assigned events and projects operated by the company; whilst working to strict deadlines and service delivery plans.

Main Duties/Responsibilities:
• Co-ordinate accommodation and meeting and events (M&E) products, focusing on hotel contracts and allocations, adhering to terms, conditions and payments with a good understanding of the commercial and financial implications of supplier agreements
• Co-ordinate ground transport (coach, car, train) services as required for the events and projects operated by the company
• Day to day liaison with existing and new suppliers
• Negotiate best possible rates and terms with suppliers
• Research and presentation of product and destination information
• Benchmarking product and rates
• Proactively find solutions to potential inventory and/or logistical issues
• Co-ordinating supplier contracts making timely decisions regarding payments, amendments/cancellations and requesting extra capacity, in line with product strategy and budgets
• Booking of staff car hire requests as required
• Liaising with internal departments and suppliers regarding queries and requests for potential and confirmed bookings whilst delivering excellent customer care
• Utilise internal systems to process client bookings and maintain databases
• Generate service reports, transfer manifests and rooming lists. Provide information to members of the Management Team as required
• Ensure that the services procured adhere to industry regulations (ABTA) through the maintenance of health, safety and quality audits, conducting regular worldwide site inspections and familiarisation trips where required
• Reconciliation of services booked during and post event
• Answer incoming calls, assisting with queries from internal departments and suppliers
• Co-ordinate on tour and at event staff travel services
• To attend and assist at events or on tour where required
• Any other duties that may reasonably be required

Qualifications/Requirements:
• A flexible individual with a solid and significant travel industry knowledge, gained over a minimum of two years working in the travel sector. Meeting and events procurement experience would be an advantage.
• An individual with proven and demonstrable negotiation skills, along with the ability to work under pressure and use initiative
• Display excellent organisational and time management skills and be self-sufficient in prioritising and organising workloads and planning ahead whilst working under pressure
• An excellent communicator with the ability to present information effectively and possess strong numerical skills
• Possess an analytical mindset coupled with commercial awareness and rigorous attention to detail
• A highly motivated individual with a lively and enthusiastic personality and a strong approach to teamwork
• Possess an extremely flexible approach to work and be prepared to work weekends, evenings and additional hours where required
• A strong working knowledge of Microsoft Word, Excel and Outlook is required for this role and experience of contracting would be an advantage
• Flexibility to travel when required within the UK, Europe and Worldwide
